In 2022 Parents' Foundation for Transitional Living (PFTL) celebrated its 30th anniversary. The foundation, dedicated to providing supportive housing for individuals with serious mental illness, wanted to mark three decades of impact, growth, and service to the community with a black tie gala event. This gala was not only a celebration of PFTL’s history but also an opportunity to engage with donors, staff, families, and community members who have supported the foundation over the years. The event provided the perfect platform to leverage key powerful storytelling, data-driven promotional campaigns, and a highly personalized guest experience, ensuring a memorable evening that amplified PFTL's brand awareness, deepened their donor relationships, and exceeded fundraising goals

Audience Segmentation & Targeting:
I began developing the event marketing plan by identifying key segments for its event promotion. These included existing donors, potential high-value contributors, community partners, and community partners in the mental health sector. Personalized invitations were sent, and digital ads were targeted to professionals and philanthropists within a 50-mile radius of New Haven, CT.
Storytelling through Visuals and Content:
The gala marketing focused on emotionally driven content to create resonance. Leading up to the event, digital content was distributed across social media, showcasing testimonials from residents and staff. High-quality visuals of PFTL’s work and impact over the years were highlighted in video promos and in gala speeches, ensuring consistency in messaging. This approach reinforced the foundation’s mission and inspired greater involvement from potential donors.
Multichannel Promotion Strategy:
A synchronized multichannel promotion for the gala was implemented including:
Email Campaigns: Automated drip campaigns were designed to build excitement, encourage early RSVPs, and maintain engagement with personalized event reminders.
Social Media Ads: Facebook and LinkedIn paid ads were tailored to reach the segmented audience, optimizing for conversions such as RSVPs and donations.
Direct Outreach: Personalized outreach through phone calls and direct mail ensured that high-value potential donors felt personally invited and engaged.
Brand Consistency and Visual Appeal:
Consistent emphasis was placed on brand coherence, every touchpoint for the event — from invitations to post-event thank-you notes — reflected PFTL’s established identity. The winter-themed visual branding for the gala was incorporated across digital marketing, event décor, and on-site elements, including the signature ice sculpture with PFTL's logo, to create an immersive brand experience.

The prestigious New Haven Lawn Club was chosen for its elegance and reputation, reflecting the high status of the event. The venue's size and amenities were ideal for hosting a formal event with over 130 guests.
Event Theme & Décor
The winter wonderland theme was meticulously planned, with décor including holiday garlands, ice sculptures featuring the PFTL logo, and candlelit tables that created a luxurious yet intimate ambiance. Every decorative element aligned with the overarching brand messaging.
Vendor Coordination
From catering to entertainment, vendor management was executed with ELM’s event efficiency principles in mind. Contracts, schedules, and deliveries were tracked to ensure all elements were perfectly in place by the event day.
II. Guest Experience Design
The guest experience was a critical focus, creating an immersive, high-end events:
Personalized Invitations
Each invitation was thoughtfully crafted and personalized for the recipient, with handwritten touches for high-value donors. The navy blue and silver design matched the event's winter theme, creating anticipation from the start.
RSVP Management
A streamlined RSVP system integrated with the PFTL CRM ensured easy guest registration and communication. Follow-up reminders and additional information on the event were sent as part of the experience management.
Event Flow
The evening's program was carefully planned to balance speeches, dinner, entertainment, networking, and dancing. Attendees were greeted with a welcome cocktail hour, followed by formal dining, speeches, and an after-dinner social on the dance floor.

On-Site Management: Leadership handled greeting guests and networking while my team managed the vendors and all event logistics. The room setup, lighting and sound checks, the photo booth, and guest seating were meticulously overseen to avoid any issues.
Engaging Program: The evening was structured to maximize attendee engagement, including speeches from PFTL Board members, testimonials showcasing the impact of PFTL’s services, and a heartfelt thank-you to donors.
Memorable Touches: The ice sculpture with PFTL’s logo, combined with carefully curated décor and lighting, made the event visually stunning and memorable. The event design went above and beyond a standard corporate gala, and the winter decor created a magical, whimsical atmosphere that guests absolutely adored.
